At The Great Beyond, every astronomy camp requires advance planning, venue coordination, equipment transportation, and resource allocation. Our cancellation policy is designed to be fair to both participants and the organizers.
Booking Confirmation
- A booking is confirmed only upon receipt of the applicable registration fee.
- Seats are limited and are allotted on a first-come, first-served basis.
- Registration is considered complete only after payment confirmation.
Cancellation & Refund Policy
Our astronomy camps are typically conducted on Saturdays. Refunds are applicable based on the timing of the cancellation request relative to the event date.
✅ 100% Refund
If the cancellation request is received before Sunday of the event week, a full refund will be processed.
✅ 50% Refund
If the cancellation request is received between Sunday and Thursday (inclusive) of the event week, 50% of the registration fee will be refunded.
❌ No Refund
No refund will be provided if the cancellation request is received:
- On the Friday immediately preceding the event.
- On the day of the event (Saturday).
- In the event of a no-show.

In the unlikely event that The Great Beyond cancels an event due to unforeseen circumstances, participants may choose either:
- A full refund, or
- A transfer of their booking to the next available astronomy camp.
Weather Policy
Astronomy is a weather-dependent activity. However, cloudy skies or limited visibility do not automatically result in event cancellation. If weather conditions prevent astronomical observations, the event will continue with a range of engaging astronomy activities, including:
- Interactive astronomy presentations
- Telescope and equipment demonstrations
- Astrophotography sessions
- Space science discussions
- Astronomy quizzes and hands-on activities
- Q&A sessions with astronomy experts
As these activities form an integral part of the camp experience, refunds will not be issued solely due to unfavourable weather or limited sky observations.
Transfer of Registration
If you are unable to attend, you may transfer your registration to another participant by notifying us at least 48 hours before the event, subject to prior approval from The Great Beyond.
Liability & Participant Responsibility
At The Great Beyond, the safety and well-being of all participants is our highest priority. Every reasonable effort is made to provide a safe, enjoyable, and educational experience. By registering for and attending our events, participants acknowledge and agree to the following:
- Participants are expected to follow all instructions and safety guidelines provided by the event facilitators at all times.
- Parents, guardians, teachers, or accompanying adults are responsible for supervising children under their care, unless explicitly stated otherwise as part of the program.
- Participants are responsible for their own personal belongings, including mobile phones, cameras, bags, laptops, and other valuables. The Great Beyond shall not be liable for any loss, theft, or damage to personal property during the event.
- Astronomy equipment, including telescopes, cameras, mounts, and accessories, are delicate and expensive scientific instruments. Participants are requested to handle all equipment only under the guidance and supervision of our team. Any intentional or negligent damage to equipment may result in the participant being held responsible for the cost of repair or replacement.
- Participants are expected to behave respectfully towards fellow attendees, event staff, venue property, and equipment. The Great Beyond reserves the right to remove any participant whose behaviour is unsafe, disruptive, abusive, or detrimental to the experience of others, without any refund.
- Outdoor astronomy events involve natural environments where conditions such as uneven terrain, insects, weather changes, low light, and wildlife may be encountered. Participants are advised to wear appropriate clothing and footwear and exercise reasonable care throughout the event.
- While reasonable precautions are taken, The Great Beyond, its organizers, facilitators, venue partners, employees, and volunteers shall not be held liable for any injury, accident, illness, allergic reaction, loss, delay, inconvenience, or damage arising from participation in the event, except where caused by proven gross negligence or wilful misconduct on the part of The Great Beyond.
- The Great Beyond shall not be responsible for cancellations, delays, schedule changes, or modifications caused by circumstances beyond its reasonable control, including but not limited to adverse weather, natural disasters, government restrictions, road closures, venue-related issues, technical failures, power outages, or any other force majeure event.
- By participating in the event, attendees acknowledge that they do so voluntarily and accept the inherent risks associated with outdoor educational and observational activities.
